In order to have effective record management so as to enable an easy retrieval of the communications, the letters, office orders, orders, memoranda office memoranda and general circulars to be issued by KVS (HQ) having the reference value for long time i.e. more than an academic / financial year conveying the following contents are to he compiled by KVS (HQ) w.e.f, 01.10.2012:-

(a) KVS policy on a particular subject/issue.

(b) Clarification on KVS policy on a particular subject/issue.

(c) Decision at the level of the Commissioner, KVS or above on a particular subject/issue.

In view of the above, the competent authority has decided to follow a system of recording a Centralized Number (CN) on each of the afore mentioned communications. Therefore, the draft of the aforesaid communications duly approved by the Commissioner, KVS, requires to obtain Centralized Number (CN) from the Section Officer (Admn. II), KVS (HQ) which is to be prefixed to the reference number of the communication before it issues.

In no case such communication shall be issued without the said Centralized Number (CN).

This issues with the approvai of the Commissioner, KVS.
